Administrative Assistant to the President

Tasks

  • Transcribe and prepare proposals and bids to customers.
  • Create & send invoices to customers, maintain customer & project folders.
  • Assist with sub-contractor payables.
  • Maintain sub-contractor contracts and records.
  • Manage the calendar, scheduling of meetings, travel arrangements, expenses, phone calls and appointments of the President, and other senior management as needed.
  • Organize presentations and reports for President as needed. Maintain all reports and documents accurate and current for President.
  • Work on ongoing projects and assist in the completion of day to day requests received from Head Office.
  • Liaise with contacts for administrative requests as needed. Build relationships and maintain a regular communication flow with staff.
  • Ensure office premises maintain a clean, organized, and professional appearance. Ensure supplies and office materials are restocked and ordered.
  • Responsible for staff event planning (luncheons, holiday parties, social events for employees etc.)
  • Provide assistance to other department managers as projects arise.

Requirements

  • Qualifications include 3+ years strong administrative assistant experience.
  • Versatile multi-tasker
  • Strong computer and internet skills.
  • Advanced knowledge of Microsoft Office.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with accuracy and attention to detail.
  • Curious; open to and seeks to learn new things.
  • Exercises good judgment and works proactively and independently.
  • Strong English written and verbal communication skills with demonstrated high proficiency for correct spelling, grammar, tone and syntax.
  • Emotional maturity, able to take constructive feedback and ability to perform under pressure.
  • Demonstrated high level of business partner/client service and response. A professional, friendly demeanor and talent working with clients as well as upper management are essential.
  • Ideal candidate will have an Associate's Degree, Paralegal Certificate and/or Bachelor's Degree.
  • Must have “no task is too small” mentality
  • Demonstrated experience handling sensitive, confidential material discreetly.
